POLICY

Polaris Bot is a technical software service. This Refund Policy outlines the conditions under which refunds are available. Please read carefully before making any payment.

1. Setup Fees — Non-Refundable

The one-time setup fee for any Polaris tier is non-refundable once the onboarding process has commenced. This fee covers initial consultation and account review, software installation and custom configuration, API key integration and security verification, and controlled launch supervision.

Because this work begins immediately upon payment confirmation, no refund of setup fees is possible once onboarding has started — regardless of trading outcomes, cancellation, or account performance.

2. Monthly Subscription Fees

Monthly fees are billed in advance and cover the current billing cycle:

  • Already-billed periods are non-refundable. If you cancel mid-cycle, you retain access through the end of the paid period but no partial refund is issued for unused days.
  • Future billing stops upon cancellation. You will not be charged for any billing cycle beginning after your cancellation date.
  • Cancellation must be requested before the next billing date to avoid charges for the subsequent period.
  • Automatic tier billing applies. If connected account capital rises into a higher tier before cancellation, the applicable monthly tier may upgrade automatically for the next billing period.

3. Billing Errors Only

Polaris setup fees and monthly subscription fees are non-refundable once billed. Polaris may review a refund request only for a demonstrable billing processor error:

  • Technical Billing Error: If a demonstrable double-charge or billing error occurs due to a payment processor error, the excess amount will be refunded promptly.

4. No Refunds for Trading Losses

Polaris is automation software. The following are explicitly not grounds for refund:

  • Losses incurred in the client's broker account during or after Polaris operation.
  • Dissatisfaction with trading performance, results, or returns.
  • Market conditions leading to drawdowns or losing periods.
  • Broker, exchange, or platform fees incurred independently of Polaris.
  • Changes in market behavior that differ from live or validation records.
  • Exchange-side execution issues, slippage, stop-loss gaps, or liquidity failures after position entry.
  • Manual trades, manual position closures, or account actions taken by the client that change the strategy behavior.
  • Leverage or margin exposure chosen by the client.

By purchasing any Polaris service, you acknowledge that trading results are not guaranteed and that no refund will be issued based on trading outcomes.

5. How to Request a Refund

To submit a refund request under eligible exceptional circumstances: contact the Polaris team through the official communication channel established during onboarding, provide your full name, payment date, amount paid, and a clear description of the reason, and include any supporting documentation.

All requests are reviewed within 5 business days. If approved, refunds are processed through the original payment method when technically available. Crypto payments are final once confirmed on-chain except for demonstrable duplicate payment or billing instruction error.

6. Chargebacks

We strongly encourage you to contact Polaris directly before initiating a chargeback. Filing a chargeback without first contacting Polaris will result in immediate termination of service access. Polaris reserves the right to dispute chargebacks with documented evidence of service delivery.

7. Crypto Payment Confirmation

During the initial Plug & Play rollout, Polaris may accept setup and monthly subscription payments in approved stablecoins. Clients must confirm the payment amount, network, and destination instructions with Polaris before sending funds. Payments sent to the wrong network, wrong address, or without confirmation may be delayed or unrecoverable.
